1. Introduction

Connect Outdoors ("Connect Outdoors," "we," "us," or "our") is a membership management platform operated by Nathen Conrad-Peterson.

We are committed to protecting the privacy and confidentiality of members, prospective members, Club administrators, and other authorized Portal users.

This Privacy Policy explains how information is collected, accessed, used, stored, shared, retained, and protected through the Connect Outdoors Membership Portal ("Portal").

This policy applies to all individuals who access or interact with the Portal.

2. Information We Collect

Depending on the services used, Connect Outdoors may collect or process information such as (but not limited to) the items listed below:

Personal and Contact Information

  • Full name.

  • Date of birth.

  • Mailing address.

  • Email address.

  • Telephone numbers.

  • Membership identification numbers.

 

Membership and Club Information

  • Club affiliations and membership status.

  • Membership applications and renewal history.

  • Membership types and eligibility information.

  • Sponsorship and reference information.

  • Parent, guardian, or authorized account manager relationships.

  • Club-required acknowledgments and permissions.

 

Payment and Transaction Information

  • Invoices and amounts due.

  • Payment status and transaction history.

  • Payment processor references.

  • Information needed for payment reconciliation and record keeping.
     

Payment card information is processed through authorized third-party payment providers, including Stripe.

Connect Outdoors does not intend to store complete payment card numbers or card security codes in its membership database.

Technical and Administrative Information

  • Login and authentication activity.

  • Session information.

  • IP addresses and browser or device information, where collected.

  • Record modification histories.

  • Administrative actions and system activity logs.

  • Security and troubleshooting information.
     

3. Sources of Information

Information may be received directly from individuals, authorized parents or account managers, participating Clubs, Club administrators, integrated payment processors, and authorized technology systems.

Information may also be imported from existing Club records.

Connect Outdoors may synchronize information between its Portal and its membership database to provide services.

4. Ownership and Control of Club Records

Membership applications, membership records, transaction histories, and related organizational records are controlled by the Club to which they belong.

Once an application is submitted to a Club, it becomes part of that Club's organizational records, regardless of whether membership is approved.

Connect Outdoors maintains and processes these records on behalf of participating Clubs.

Individuals do not obtain ownership or unilateral deletion authority over Club organizational records merely because those records contain their personal information.

However, individuals retain all applicable privacy rights, including rights to access, correction, deletion, or other remedies where required by law.

Connect Outdoors and participating Clubs will evaluate requests according to applicable legal requirements and legitimate recordkeeping obligations.

5. How Information Is Used

Information is used to:

  • Authenticate and provide Portal access.

  • Process membership applications and renewals.

  • Maintain Club membership records.

  • Facilitate authorized payments and reconciliation.

  • Display membership information to authorized Users.

  • Support Club administration.

  • Manage communication preferences.

  • Facilitate authorized account management and sponsorship activities.

  • Maintain security, investigate errors, and prevent fraud.

  • Comply with applicable legal and recordkeeping obligations.

  • Provide customer support and improve Portal functionality.

Personal information will not be used for unrelated advertising or commercial data sales.

6. Who May Access Information

Access to membership information is restricted according to authorized roles and legitimate operational needs.

Members: Individuals may access their own information and permitted membership records.

Authorized Account Managers: Parents, guardians, spouses, or other individuals expressly authorized through the Portal may access limited records and functions associated with the accounts they manage.

Participating Clubs: Authorized Club administrators may access information belonging to their Club as necessary for legitimate organizational purposes.

Connect Outdoors Personnel: Nathen Conrad-Peterson and authorized staff may access information where reasonably necessary to operate, support, secure, or maintain the Portal.

Authorized Contractors: Paid contractors engaged to provide legitimate services may receive limited access necessary to perform assigned work, subject to confidentiality and appropriate security requirements.

​

Technology Service Providers: Infrastructure, database, hosting, security, and payment providers may process information as necessary to deliver their contracted services.

​

Access is intended to be limited to information reasonably necessary for each authorized function.

7. Information Sharing and Sale of Data

Connect Outdoors does not sell personal information.

We do not provide member contact information to unrelated businesses for their independent marketing or advertising purposes.

Personal information may be disclosed:

  • To the Club responsible for the relevant records.

  • To individuals expressly authorized to manage an account.

  • To Connect Outdoors personnel and contractors with legitimate operational responsibilities.

  • To service providers necessary for hosting, data processing, security, payments, and Portal operations.

  • To a partner organization when the individual has affirmatively opted into the relevant information-sharing arrangement.

  • Where legally required, or where reasonably necessary to respond to lawful requests, prevent fraud, protect safety, or defend legal rights.

Opting into communications from a Club does not automatically constitute permission to share information with an unrelated partner organization.

Consent for optional partner sharing may be withdrawn for future disclosures, subject to applicable law and any information already lawfully disclosed.

8. Information Relating to Minors

Connect Outdoors takes additional precautions when processing information concerning individuals under 18.

Individual minor membership profiles are intended to contain only information necessary for Club membership administration, including name, date of birth, membership status, and required Club records.

​

Connect Outdoors does not intentionally store independent email addresses, telephone numbers, or mailing addresses belonging to individuals under 18 within their minor membership profiles.

​

Where communication is necessary, information belonging to an authorized parent, guardian, or account manager may be maintained separately or associated with the minor's membership.

​

Clubs may retain additional information required for lawful membership administration, including guardian authorization and permission records.

Minors are not intended to independently manage Portal accounts unless expressly permitted by Connect Outdoors and applicable law.

9. Data Retention and Archiving

Connect Outdoors follows a standard ten-year data lifecycle for covered membership and administrative records.

Active Retention: Records are maintained in the operational database for five years following the applicable record's retention start date.

Secure Archive: After the active retention period, records are transferred to a restricted-access archive for an additional five years.

End of Retention: Following the archive period, records are scheduled for secure deletion or irreversible de-identification, unless continued retention is required or permitted by applicable law, a legal hold, an unresolved dispute, or another documented lawful obligation.

Archived records are not intended for routine Portal access and are accessible only to authorized personnel for legitimate purposes.

For membership records, the standard retention period begins upon closure or termination of the relevant membership relationship. Other records may have different legally required retention triggers.

Technical logs, temporary files, system backups, and payment provider records may follow separate retention schedules appropriate to their purposes and legal requirements.

10. Club Departure and Data Handling

When a participating Club discontinues its relationship with Connect Outdoors, the Club will be provided an export of its membership and organizational records in a reasonably accessible electronic format.

​

The Club retains ownership and control of its organizational records following departure.

Connect Outdoors will retain copies of those records under its standard data retention policy, consisting of five years in the operational database followed by five years in a secure archive. 

​

Departure from Connect Outdoors does not restart or extend an existing record's retention period. Records will continue under their established retention schedules, subject to applicable legal requirements.

 

After a Club's departure, routine Portal access to the Club's records will be discontinued, and retained information will be restricted to authorized Connect Outdoors personnel and contractors for legitimate recordkeeping, security, legal, and operational purposes.

Retained information will not be sold, used for unrelated marketing, or shared with unrelated third parties except as permitted by this Privacy Policy or required by law.

 

At the end of the applicable retention period, records will be securely deleted or irreversibly de-identified unless continued retention is legally required or otherwise permitted.

11. Technology Infrastructure and Security

Connect Outdoors uses third-party technology services, including Wix for Portal functionality, Salesforce for membership data management, and Stripe for payment processing.

​

Information may be transmitted between these systems through authorized integrations.

We use reasonable administrative, technical, and organizational measures designed to protect information from unauthorized access, alteration, disclosure, or destruction.

​

These measures may include access restrictions, session controls, encrypted communications, administrative permissions, activity logging, and safeguards offered by our technology providers.

​

Our technology providers maintain their own security and privacy practices, which operate alongside our responsibilities.

No electronic storage, transmission, or authentication system can be guaranteed completely secure.

​

12. Cookies and Technical Information

The Portal and its technology providers may use cookies, session storage, and similar technologies to maintain login sessions, support security, remember preferences, and provide necessary website functionality.

​

Additional analytics or optional tracking technologies, if implemented, will be disclosed and managed as required by applicable law.

Users may manage certain browser settings, although disabling essential technologies may prevent the Portal from functioning correctly.

13. Communications and Preferences

Connect Outdoors may facilitate communications related to Club membership, renewals, account updates, administrative notices, and other membership services.

Members may be offered controls to manage optional email and text communication preferences. 

​

Transactional, security, legal, and essential account notices may continue where permitted by law, even when optional communications have been declined.

Participating Clubs are responsible for complying with applicable requirements concerning their own communications and member outreach.

14. Individual Privacy Rights

Depending on applicable law, individuals may have rights to request:

  • Access to personal information.

  • Correction of inaccurate information.

  • Deletion of eligible personal information.

  • Information about how personal data is used or disclosed.

  • Withdrawal of optional consent.

  • Other privacy rights established by law.

 

Requests may be submitted using the contact information below. Where information forms part of a Club-controlled record, Connect Outdoors may coordinate with the applicable Club before fulfilling a request.

Certain information may be retained despite a deletion request where required or permitted by law, including for legal compliance, financial record keeping, security, or legitimate organizational obligations.

​

We will not discriminate against individuals for exercising applicable privacy rights.

15. Security Incidents and Data Breaches

Connect Outdoors maintains procedures intended to identify, investigate, and respond to suspected unauthorized access or disclosure.

When a security incident affects protected information, we will take reasonable steps to investigate, contain, and remediate the incident.

Affected Clubs, individuals, regulators, or other parties will be notified when required by applicable law or contractual obligations.

16. Third-Party Services and External Websites

The Portal may provide access to external payment processors, Club websites, or other third-party services.

Those services may maintain separate privacy policies and terms.

Connect Outdoors does not control independent third-party websites or their information practices.

Our use of service providers does not eliminate obligations imposed on Connect Outdoors by applicable law.

17. Changes to This Policy

We may update this Privacy Policy to reflect operational changes, new features, technology updates, or legal requirements.

The revised policy will display an updated effective date.

Material changes will be communicated through the Portal or another appropriate method.

Additional consent will be requested where legally required.

18. Severability

If any provision of this Privacy Policy is determined to be invalid, unlawful, or unenforceable, that provision shall be interpreted or severed to the extent necessary, and the remaining provisions shall continue in effect to the fullest extent permitted by law.

Nothing in this Privacy Policy limits rights or protections that cannot legally be waived.
